AdvanceFirst Technologies Ltd is a GS1 UK partner and leading provider of Electronic Data Interchange (EDI). With around 300 global clients covering 20 countries, they have been involved in commercial EDI since its inception within the UK and have helped thousands of businesses realise its many benefits by making the technology of data exchange and integration significantly more accessible, intelligent and easier to deploy.

EDI is the computer-to-computer exchange of business documents in a standard electronic format between business partners. Typically powered by GS1 EDI, a set of global electronic messaging standards for business documents, it facilitates the secure, automated exchange of business information. It also eliminates paper-based transactions and enables significant improvements in terms of efficiency and cost.

Where it all began

In the early 1980s, a growing number of businesses including several prominent UK retailers began to recognise the need for a common method of electronically exchanging business documents with their external trading partners.

Realising that this was not a challenge they could easily solve alone they began working with GS1 UK, then known as the Article Number Association, to develop a unified standard approach. This led to the development of the TRADANET, an early EDI platform that pioneered electronic trading within the UK retail sector.

EDI was soon adopted by the UK retail sector, largely thanks to the support of industry leaders such as Tesco and B&Q who became keen advocates for wider adoption and alignment throughout the supply chain.

The need for full supply chain integration

According to a recent insight piece from AdvanceFirst, the decision to adopt EDI represented not only a technological shift but a fundamental change in how business was conducted.

However, the full potential benefits of EDI will not be seen until adoption extends throughout the entire supply chain, from suppliers to their suppliers and beyond.

While suppliers using EDI to communicate with their immediate customers (such as retailers) is becoming more common, suppliers implementing EDI with their own supplier community is still being overlooked.

This continues to result in missed opportunities for lowering costs, boosting efficiencies and reducing errors as without EDI implementation at all levels, the potential for pushing costs out of the supply chain is limited.

Extending the benefits

AdvanceFirst believe that creating automated, integrated communication links with all suppliers and expanding EDI throughout the wider supply chain will offer substantial benefits to all, including:

  • Reduced administrative costs - through automated data entry, document processing, eliminating paper and streamlining administrative processes.
  • Improved efficiency - EDI accelerates transaction cycles, reducing processing times, eliminating bottlenecks, and shortening lead times throughout the supply chain
  • Better supplier relationships - facilitating collaboration by enabling data exchange to support process-driven relationships with key suppliers.
  • Enhanced inventory management - providing real-time data on inventory levels, demand forecasts, and order status, enabling better resource planning, inventory optimisation and reduced inventory holding costs.
  • Trusted data - EDI can eliminate the human error associated with paper-based processes, improving data accuracy and building trust across the supply chain
  • Streamlined logistics - EDI facilitates the exchange of shipping information, tracking details, and delivery confirmations, leading to optimized transportation routes, reduced transit times, and lower freight costs.
  • Faster order fulfilment - by automating order processing, validation, and confirmation, EDI enhances order accuracy, timeliness, and customer satisfaction, ultimately leading to cost savings and increased revenue.
  • Regulatory Compliance - EDI helps ensure compliance with industry standards and regulations, reducing the risk of penalties and legal liabilities.

To achieve this, they recommend taking a strategic approach to EDI, embedding it across all business operations and communications with trading partners, including suppliers.

This will become crucial in today's globalised online trade environment as high customer expectations and rapid order fulfilment increasingly become the norm.
